How we handle data
Data handling starts with scope and authorization.
Before a preparation or licensing engagement, we agree the permitted sources, processing instructions, approved recipients, retention, and release steps. Contact us to discuss the handling requirements for your proposed dataset.
Agreed before access
Five things settled in writing first.
Permitted sources
Exactly which systems, tables, or files are in scope, and which are not.
Processing instructions
What we may do with the data: profile, transform, annotate, or package, and nothing else.
Approved recipients
Who may see materials or samples, named before any release.
Retention
How long working copies are kept, and how they are returned or deleted.
Release steps
The approvals each release needs, and the manifest that records it.
Sensitive content
Personal or confidential content goes to compliance review before any transfer.
On this website
Descriptions only.
No form on this site accepts files, and none connects to your systems.
- Inquiry forms ask for metadata: type, size band, origin, and sensitivity flags
- Every description field warns against records, credentials, and personal details
- Marketing email is a separate, unchecked option, never bundled with an inquiry
- No consent to resale or model training is collected through any form
- Automated replies acknowledge receipt; eligibility needs a documented review
Always the owner’s decision
What only you can approve.
- Which data is in scope, and which is not
- Every external disclosure and teaser
- Each recipient, before first contact
- Every sample release and access grant
- Whether to accept, counter, or decline an offer
- The license agreement, signed with your counsel
What we will not claim
Evidence before publication.
- No certification badge we cannot evidence for the precise scope and period
- No “100% safe,” blanket compliance, or universal anonymity claim
- No AI lab logo, partnership, or endorsement claim
- No expected payout, valuation, or revenue figure
Questions
Do we need to upload data to inquire?
No. Describe the proposed dataset at a high level. Do not submit raw records, credentials, personal information from the dataset, or confidential examples. Any later transfer follows an agreed access and handling process.
Which certifications do you hold?
We list only verified controls and reports, and none is listed yet. Ask us for the current position for your engagement; we will not describe a control we cannot evidence.
Do you keep any rights to our data?
No implied right. The agreement states your rights to prepared outputs, our pre-existing tools, and third-party dependencies, and that we do not commercialize client data because we prepared it.
Is the website inquiry stored with our dataset?
No. Inquiry details are kept in our sales records with restricted access. Sensitive source files and identity mappings are kept out of the sales system.
How do we make a privacy request?
Email hello@sophrono.com with “Privacy request” in the subject, or use the contact form and choose the privacy topic.
